Privacy Policy — Stories Electric

Stories Electric ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect through our booking site, why we collect it, how we use it, and the rights you have over it. This policy is written in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who We Are

Stories Electric is a sole trader business based in London, United Kingdom. For the purposes of data protection law, we are the "data controller" of the personal data described in this policy.

When you use our booking site or engage our services, we may collect:

  • Booking details: name, company name, job title, email address, phone number, event/trade show details (dates, venue, booth number).

  • Payment information: billing details and payment confirmation, processed via our third-party payment provider (see Section 5). We do not store full card numbers on our own systems.

  • Communications: messages you send us via contact forms, email, or our CRM.

  • Website usage data: basic analytics such as pages visited and browser type, if our site uses analytics/cookies (see Section 7).

  • Event footage: where relevant to your booking, video and photography content captured as part of the service you've booked with us.

3. How We Use Your Data

We use your data to:

  • Process and manage your booking, including quotes, contracts, and invoicing.

  • Communicate with you about your project, scheduling, and deliverables.

  • Deliver final video assets.

  • Improve our website and services.

  • Send occasional marketing updates about our services, only where you've opted in (you can unsubscribe at any time).

  • Comply with legal and accounting obligations (e.g. tax records).

4. Legal Basis for Processing

We process your personal data on the following legal bases:

  • Contract: to perform the booking agreement between us (e.g. processing payment, delivering footage).

  • Legitimate interests: to run and improve our business, including basic website analytics and responding to enquiries.

  • Consent: for marketing communications, which you can withdraw at any time.

  • Legal obligation: for record-keeping required by UK tax and accounting law.

5. Who We Share Data With

We share data with trusted third parties only as needed to run our business, including:

  • Payment processors (Monzo) to handle payments securely.

  • CRM and booking tools (Framer) to manage bookings and communications.

  • Email/hosting providers (Framer, Google) for site operation and correspondence.

Some of these providers may be based outside the UK/EEA (for example, in the United States). Where this is the case, we rely on appropriate safeguards such as Standard Contractual Clauses or the provider's own UK/EU-approved data transfer mechanisms.

We do not sell your personal data to third parties.

6. Data Retention

We retain booking and financial records for as long as required by UK tax law (currently 6 years). Marketing contact details are retained until you unsubscribe or request deletion. Raw event footage is retained for [X months/years] after project completion, after which it may be archived or deleted unless otherwise agreed.

Our website uses essential cookies to operate correctly and analytics cookies (Google Analytics, Framer Analytics) to understand site usage. You can control cookie preferences via your browser settings.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.

  • Request correction of inaccurate data.

  • Request deletion of your data ("right to be forgotten"), subject to our legal retention obligations.
