Terms of Service

These Terms of Service ("Terms") govern the booking and provision of video production services by Stories Electric ("we", "us", "our"), a sole trader business based in London, United Kingdom, to any client who books services through our website or otherwise ("you", "the Client"). By submitting a booking request, paying a deposit, or otherwise engaging our services, you agree to these Terms.

1. Services

Stories Electric provides video production services for trade show and expo exhibitors, including but not limited to: pre-event planning, on-site filming, interviews, and post-production editing (highlight reels, social cuts, and other deliverables as agreed in your service tier). The specific scope, deliverables, and timeline for your booking are set out in your individual quote or booking confirmation ("the Booking Confirmation"), which forms part of these Terms.

2. Booking and Confirmation

2.1 A booking is only confirmed once we have received (a) your signed Booking Confirmation or agreement, and (b) your deposit payment as set out in Section 3.

2.2 Submitting a booking request through our site does not guarantee availability. We will confirm your event date in writing once both steps in 2.1 are complete.

2.3 You are responsible for providing accurate event details (dates, venue, booth location, access passes, and key contacts) at the time of booking. Delays or errors caused by inaccurate information may affect delivery timelines and are not our responsibility.

3. Pricing and Payment

3.1 All prices are quoted in GBP and are exclusive of VAT unless stated otherwise. We are not VAT-registered.

3.2 A non-refundable deposit of 50% of the total project fee is required to secure your booking date. The remaining balance is due on delivery of final footage, unless otherwise agreed in writing.

3.3 We accept payment via bank transfer and by card via Monzo. Late payment of the balance may result in delayed delivery of final assets.

3.4 Prices for add-ons, rush turnaround, or scope changes requested after booking will be quoted separately and confirmed in writing before work begins.

4. Cancellation and Rescheduling

4.1 By you: If you cancel a confirmed booking, the deposit is non-refundable. If you cancel within 3 days of the event date, the full project fee becomes payable, as we will typically be unable to rebook that date.

4.2 Rescheduling: We will make reasonable efforts to accommodate a date change if requested at least 3 days before the event, subject to availability. Rescheduling within 3 days of the event may incur a rebooking fee of 50%.

4.3 By us: In the unlikely event we are unable to fulfil a booking due to illness, emergency, or other circumstances beyond our reasonable control, we will notify you as soon as possible and either arrange a suitable replacement crew, offer a full refund of monies paid, or reschedule at no extra cost, at your election.

4.4 Event cancellation or postponement: If the trade show or expo itself is cancelled or postponed by the organizer for reasons outside your control, please notify us as soon as possible — we will work with you in good faith on rescheduling or an adjusted fee, but the deposit remains non-refundable as it secures our time and resources.

5. Client Responsibilities

5.1 You are responsible for securing any necessary permissions, exhibitor passes, or access credentials required for our crew to film at your booth or the event venue.

5.2 Where filming involves third parties (attendees, other exhibitors, event staff), you are responsible for ensuring appropriate consents or releases are obtained, unless we have expressly agreed in writing to handle this on your behalf.

5.3 You agree to provide a safe, reasonably accessible filming environment. We reserve the right to pause or decline filming in unsafe conditions without liability.

6. Deliverables, Revisions, and Turnaround

6.1 Deliverables and formats are as specified in your service tier / Booking Confirmation.

6.2 Standard turnaround for final delivery is 2 business days from the event date, unless otherwise agreed.

6.3 Your package includes 0 round(s) of revisions on the initial edit, unless otherwise agreed in writing. Additional revision rounds or requests outside this window may incur an additional fee.

6.4 Raw/unedited footage is not included in deliverables unless separately agreed and paid for.

7. Intellectual Property and Usage Rights

7.1 Stories Electric retains copyright and ownership of all raw footage and project files produced during the engagement.

7.2 Upon receipt of full payment, you are granted a worldwide, non-exclusive, perpetual licence to use the final delivered assets for your own commercial and marketing purposes.

7.3 We reserve the right to use excerpts of the final delivered footage in our own portfolio, showreel, website, and social media for promotional purposes, unless you notify us in writing before the event that you require confidentiality (see Section 8).

7.4 You may not resell, sublicense, or claim sole authorship of the raw footage or unedited project files.

8. Confidentiality

8.1 Where your booking involves filming of unreleased products, prototypes, or confidential business information, please notify us in writing before the event. We agree to treat such material as confidential and will exclude it from our portfolio use under Section 7.3.

8.2 We are happy to sign a mutual non-disclosure agreement (NDA) on request for bookings involving sensitive product launches.

9. Force Majeure

Neither party will be liable for delay or failure to perform obligations under these Terms due to events beyond reasonable control, including natural disasters, extreme weather, strikes, government restrictions, venue closures, or public health emergencies. Section 4.4 governs event cancellation specifically.

10. Limitation of Liability

10.1 Our total liability arising from any booking is limited to the total fees paid by you for that booking.

10.2 We are not liable for indirect or consequential losses, including loss of profits, loss of business opportunity, or reputational damage.

10.3 Nothing in these Terms limits liability for death, personal injury caused by negligence, or fraud, to the extent such liability cannot be excluded by law.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to These Terms

We may update these Terms from time to time. The version in effect at the time of your Booking Confirmation will apply to that booking. Material changes will be reflected by an updated effective date at the top of this page.
